Although I am not on the Board of Directors for Sol y Mar, a 12 unit condo complex in Playa Hermosa, Guanacaste, I am an owner. We are finding it challenging to secure the complex as it is Maritime Zone and guards are questionably effective. Is there a good electronic security gate company out there? We are also looking to hire an administrator or management company. I saw that Worldwide was recommended by someone previously in this forum and we are interviewing them. Any suggestions either re: management companies or security gate companies? Thanks!
January 9, 2008 at 5:23 am #188783AlvaroMemberCarol, I live in Playa Hermosa, Guanacaste and I’m Managing Villas Sol Hotel & Beach Resort. We have been working with Grupo ASC for our Resort Security for 1 year now and so far we have had good results. Before we hired Grupo ASC we quoted several security companies such as Delta, G4S, SIP, CDA and Carabineros de la Peninsula and they were either too expensive or not too professional. I highly recommend you talk to them and have them give you a quote as their security guards and company is very professional. They just obtained the contract at Palo Alto and they are negotiating with Pacifico and Punta Cacique. They can help you select alarm systems and video surveillance which is a great combination. We ourselves are in the process of installing 8 surveillance cameras.
With regards to management, I think that Worldwide is a good property management company but I don’t think they have enough experience with managing HOAs. I thought that C21 At The Beach (Scott and Jeremy) were managing this project? I think that Coldwell Banker in Coco has experience with HOAs and perhaps REmax Resort Properties. Other than that the only Property Management firm in the area is Worldwide.

JOB TITLE:
Administrator
POSITION SUMMARY:
The Administrator will be appointed by the Sol y Mar Board of Directors, and the Administrator will
be responsible to the Board for the day to day management of the Complex.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The primary objective of the role is to handle the administration of the Sol y Mar Residential
Complex:
• Collect assessments from owners,
• Prepare monthly account statements for the 12 units,
• Pay all common area invoices,
• Prepare monthly operating statements for review by the Board of Directors,
• Prepare quarterly and annual financial statements (in conjunction with the Treasurer) for review
by the Owners,
• Assist in preparing the annual budget,
• Pay invoices for individual owners (to be billed separately to the respective owners.)
The secondary objective of the role is to monitor the property and to take the necessary actions to
maintain the property in excellent condition:
• Assist with the selection and hiring of a Security provider and monitor their performance on a
regular basis.
• Assist with the selection and hiring of property management services (an individual or a
company) to take care of the common areas and swimming pool. Supervise performance of
those functions.
• Identify cleaning, maintenance and repairs required, and make arrangements to have it done.
MINIMUM REQUIREMENTS:
This position is open to an individual or a company.
• Hands-on problem solver with a “Can Do” attitude
• The expectation is that the Administrator will visit the property at least six times a week for a
quick visual inspection
• Must be fluent in English and Spanish
• Must be able to legally work in Costa Rica
• Must be neat in physical appearance
• Must possess excellent communication skills in order to work with both owners and a variety
of vendors and contractors.
• Must possess a moderate level of competence in the area of mechanical issues and basic repairs
in order to appropriately supervise same.
• Must be available bi-weekly for a conference call to update the Board of Directors on the
current status of the project.
• Must have a valid driver’s license and own transport
• Must be computer literate and comfortable with the use of Microsoft Office, e-mail and the
internet. Must have access to a computer and the internet.
• Responsibilities may require an adjusted work schedule with some work during evenings,
weekends or holidays, if there is a major problem or crises.
• Must be willing to be “on call” in case of emergency situations. Must live within 20 minutes
travel time from Sol y Mar.
• Must have a plan for job coverage in the event of occasional travel or absence
COMPENSATION:
The Administrator will prepare a US Dollar quote for the Board of Directors for the services listed
above. Payment will be monthly based on an invoice received.
The candidate will submit at least three letters of reference that address such issues as reliability, work
ethic, honesty from previous job supervisors or clients.
TERM:
The initial term will be from the starting date to September 30, 2008. The arrangement may be
renewed by mutual consent, and will run for a fiscal year (October 1 to September 30).
There will be a 90 day probation period followed by evaluation by the Board of Directors. This
contract can be terminated with 30 days notice at any time, for any reason by the Board of Directors.
APPLICATION SUBMISSION PERIOD: until January 21, 2008
NOTIFICATION DATE: the successful candidate will be notified on or before January 31, 2008
